BCCL Begins One-Time Date of Birth Correction Process for Employees

Each employee will receive a bilingual notice along with the pay slip inviting objections, if any, regarding their date of birth

Bharat Coking Coal Limited (BCCL) has initiated a significant administrative exercise aimed at ensuring transparency and accuracy in employee records by launching a one-time correction process for Date of Birth (DOB) details of its workforce.

The decision has been taken in accordance with the minutes of the 15th QSM meeting held on February 28, 2025, under which the company resolved to display employees’ dates of birth in their pay slips and allow a one-time opportunity to raise objections in case of discrepancies.

The recommendations submitted by a headquarters-level committee have received approval from the competent authority, following which a detailed implementation procedure has been issued.

DOB to be Displayed in Pay Slips

As part of the initiative, the Date of Birth of all non-officer employees will be printed in the February 2026 pay slips (payable in March 2026) with the marking:

“Provisional – DD.MM.YYYY.”

Necessary technical arrangements for incorporating the information have been ensured by the ERP Cell.

Pay Slip Distribution Process

Pay slips will be printed immediately after the final payroll run on March 1, 2026, and distributed to employees within one week. Receipt of pay slips will be documented through employee signatures and dates in a Special Purpose Physical Register, with separate registers maintained for different units and establishments.

Formal Notice for Objections

Each employee will receive a bilingual notice along with the pay slip inviting objections, if any, regarding their date of birth. Receipt of the notice will also be recorded in a dedicated register. The information will additionally be displayed on notice boards and other prominent locations across units.

Responsibility for ensuring personal delivery of pay slips and notices will rest with Unit Human Resources Officers, Regional HR Managers, Heads of Establishments, and headquarters HR officials.

Deadline for Submission of Objections

Employees have been granted a one-time window of one and a half months to submit objections supported by valid documentary evidence.

No objections will be accepted under any circumstances after this deadline.

HR officers will also independently review records and identify discrepancies even where employees do not file objections.

Register Maintenance and Case Forwarding

All representations will be entered sequentially in a special register. After the deadline, the register will be formally closed and sealed, mentioning the total number of cases received.

The Industrial Relations Department will receive compiled records on April 16, 2026. Unit HR Managers will prepare checklists and forward cases to regional offices by July 16, 2026, while headquarters cases will be routed through the NEE Department to the Head of Industrial Relations.

Multi-Level Verification Mechanism

At the regional level, a three-member committee comprising representatives from Human Resources, Finance, and another department will examine documents and submit recommendations. This scrutiny process is scheduled for completion by August 31, 2026.

Subsequently, a designated DOB Committee under the Industrial Relations Department will conduct final examination and place cases before the competent authority within two months of receipt.

Finalisation of Records

Once cases are settled, the “Provisional” marking will be removed from pay slips and the corrected date of birth will be officially recorded.

Management Appeal

BCCL management has urged all employees to carefully verify their date of birth details upon receiving their pay slips and submit objections, if required, within the prescribed timeframe, emphasizing that the facility is being provided strictly on a one-time basis.
